1. Who is responsible

We process personal data in accordance with the EU General Data Protection Regulation (GDPR) and German data protection law.

2. Hosting and shop system (Shopify)

Our shop runs on Shopify. Shopify International Ltd., Victoria Buildings, 1–2 Haddington Road, Dublin 4, Ireland, hosts the website and processes data on our behalf (Art. 28 GDPR), including server log data (IP address, browser, time of access) needed to deliver and secure the site. Data may also be transferred to Shopify Inc. in Canada (EU adequacy decision) and to the USA (EU–US Data Privacy Framework / standard contractual clauses). Legal basis: Art. 6 (1)(b) and (f) GDPR.

3. Orders

When you place an order, we collect your name, billing and shipping address, email address and, if needed for delivery, your phone number. We use this data to process your order, arrange shipping and communicate with you about your purchase (Art. 6 (1)(b) GDPR).

Payments are processed by the payment provider you choose at checkout (for example Shopify Payments, PayPal or Klarna). We do not store or have access to your full payment details. For delivery, we pass your name, address and, where needed, email or phone number to DHL (Deutsche Post AG / DHL Paket GmbH).

4. Contact form, email and phone

If you contact us, we process the details you give us (name, email, phone if provided, your message) to answer your request (Art. 6 (1)(b) or (f) GDPR).

5. Newsletter

If you sign up for our newsletter (for example to get 15% off your first order), we use your email address to send you news and offers about our products, based on your consent (Art. 6 (1)(a) GDPR). We use Shopify's email tools for this. You can unsubscribe at any time via the link in every newsletter or by writing to info@green-room.space.

6. Cookies and consent

We use cookies that are technically necessary for the shop to work (for example cart, language and currency). Other cookies and similar technologies are only used if you agree in our cookie banner (Art. 6 (1)(a) GDPR, § 25 (1) TDDDG). You can change or withdraw your choice at any time: delete the cookies for green-room.space in your browser and the cookie banner will appear again, or write to us.

With your consent, we use:

  • Google Analytics and Google Merchant Center conversion measurement (Google Ireland Ltd., Gordon House, Barrow Street, Dublin 4, Ireland) to understand how the shop is used and to measure results from Google.
  • Meta Pixel (Meta Platforms Ireland Ltd., 4 Grand Canal Square, Dublin 2, Ireland) to measure visits and purchases coming from Facebook and Instagram.
  • Microsoft Advertising UET tag (Microsoft Ireland Operations Ltd., One Microsoft Place, South County Business Park, Leopardstown, Dublin 18, Ireland) to measure visits and purchases coming from Bing and Microsoft services.

These providers may transfer data to the USA. Transfers are based on the EU–US Data Privacy Framework and/or standard contractual clauses.

7. Review requests (Judge.me)

After we have shipped your order, we send you one email asking you to review the products you bought (7 days after shipping within Germany, 12 days after shipping to other countries), and at most one reminder if you haven't reviewed them yet. We use the email address you gave us when ordering. Legal basis: § 7 (3) of the German Act against Unfair Competition (UWG) and our legitimate interest in honest feedback on our own products (Art. 6 (1)(f) GDPR).

You can object to this use of your email address at any time, at no cost other than the basic transmission costs: use the unsubscribe link in any review email, or write to info@green-room.space. After that, we won't send you any more review requests.

To send review requests and to publish reviews, we use Judge.me (Judge.me Ltd, c/o Buckworths, 1–3 Worship Street, London EC2A 2AB, United Kingdom) as a processor (Art. 28 GDPR). Judge.me receives your name, email address and the order details needed for the request (products, order and shipping date). Data is transferred to the United Kingdom on the basis of the EU adequacy decision, and to Judge.me's sub-processors on the basis of standard contractual clauses.

If you write a review, we publish your rating, your text, any photos or videos you upload and the display name you choose on our website. Your email address is never published. Reviews submitted via the link in our email are marked "Verified". We publish all ratings, including critical ones. You can ask us at any time to edit or delete your review.

8. How long we keep data

We delete personal data when it is no longer needed for the purpose it was collected for. Order and invoice data are kept for as long as German commercial and tax law requires (generally 6 to 10 years, § 257 HGB, § 147 AO). Newsletter data is kept until you unsubscribe.

9. Your rights

You have the right to access, rectification, erasure, restriction of processing, data portability and to object to processing based on legitimate interests (Art. 15–21 GDPR). You can withdraw consent at any time with effect for the future. You also have the right to lodge a complaint with a data protection supervisory authority, for example the Berlin Commissioner for Data Protection and Freedom of Information (Berliner Beauftragte für Datenschutz und Informationsfreiheit, Alt-Moabit 59–61, 10555 Berlin).
